    I am looking for the best project management software for a small firm (principal plus drafter). Would that be Microsoft Project since I have MS Office 365? I would have to pay for the Project $10 or $30 per month subscription, depending if the Reports and desktop interface are worth paying 3x the basic subscription price.

    You should checkout Project Libre. Similar to MS Project but open source.

    Micah, I use a free product I found, I think it's made by one of the Universities called GanttProject it's easy to use and works like Project, I am not sure if it will do what you need but it is worth a go. Here is the link https://www.ganttproject.biz/

    Thank you Jodi, Looking at Harvest, I'm disappointed it does not integrate with Quickbooks Desktop. However Harvest does look interesting so I will look into it. 

    The job progress tracking function peaks my interest most from what I've seen so far.

    My office recently started using Asana. It was pretty easy to convert from our paper/pencil and excel spreadsheet methodology to this software. There is a free version but we opted for a subscription that's about $800/yr for 4 people.  We're really happy with it so far.

    Also voting for Harvest - we hardly tap all of its abilities, but it has helped us greatly in the project cost accounting area.

    Get a look at Wrike. We started down the road with it but decided it took too much in input time compared to value of output - but I really liked it. This is the trouble with most project management tools. They are either telling you what you already know, or you spend your time in the tool rather than producing value for your clients, which a small firm just can't afford. Your billable time is much more important than the cost of the tool. If you find a tool that costs $150.00 per month but allows you to bill two more hours a month in your practice, you are money ahead!

    I don't know why people use MS Project for multiple project management for architectural projects. I have never had the impression that it was made to input and present that kind of information in an efficient way.

    Thank you Philip, good to hear some consensus forming, and project cost accounting would be a plus for me as well. Good point about paying for software, it it saves time. I've been debating getting into Bluebeam Revu for cost reasons. I get exhausted with all of the subscriptions these days. 

    Do you use Quickbooks desktop pro or web or other bookkeeping software?

    I have heard of ArchiOffice, but last I checked it didn't integrate with Quickbooks Desktop pro, only the online version.

    We used ArchiOffice for a while but it was not robust enough for the types of reporting we wanted to do.  We were convinced by the parent company of ArchiOffice (BQE) to go to their Core program which was supposed to be a step up.  Unfortunately Core is not far enough along in development to what we need either.  It has better reporting but you really need them to customize everything for you which involves a lot of cost.  We are looking at alternatives currently, Harvest is one I have heard of as well.  We have recently procured Salesforce so we are looking for something that speaks to that as well (so far they have recommended Sage).  Our intent would be to run timekeeping and invoicing  through one program but use Salesforce not only as CRM but also just project data that can connect with the other program to deliver all functionality that we need.

    TLDR: We have tried a few programs and have realized we need to use a few to get what we need.

    What Salesforce product are you using and what is the cost? I like the CRM idea. And I"ll look at Sage...

    I need to be careful being a 2 person firm with getting bogged down in project management software, but do want to be effective and efficient with time.

    Anyone tried BigTime? It integrates with QB Desktop or Online. Seems robust. Might be a good option if not too expensive, which cost is something I'm looking into now.

    I wish these other architect-focused PM softwares integrated with QB Desktop, not just Online...

    Our office was originally using excel, and wasting a bunch of time... We tried out Monday.com for a bit, however it's not great once you have more than a few projects, and everything needs to customized. We have currently landed on Zoho.com. It offers a lot of different integrations and many different reporting abilities. It also has a lot of other business management tools that seem like a good future investment. It works pretty well for us, but not necessarily built for architecture offices, it's a good all-around tool.

    I've been using ArchiOffice for about eight years now and it's been a wholly positive experience. As a sole practitioner I don't require the full range of tools and capabilities so a larger more complex practice may have a different perspective. But my practice does involve multiple project types and modalities and the platform supports everything I've asked of it. It's been particularly useful in managing the work I do as a full-time faculty member; for both teaching and research.

    I recommend smartsheet.com

    Its online (so available everywhere, when you want to add info, or query), adaptable and simple.  Its basically the step up from Excel / Google Sheets and you can use it for both SCHEDULE (whole project) in CPM or other view format and BUDGET (design phase, construct phase, or both).

    You can get a trial, but I recommend waiting until you have an actual project to try it on.

    Cost is sliding depending the number of users and projects.  If its just 1 a year, you could just use the trial and then export to .XLS once its mostly set up (or pay only if the client moves forward and pass the cost along.

    Maybe the only downside I;ev found is that the (VERY) eager tech staff at smartsheet.com don't necc. have a lot of experience in the AEC usage of PM software.  But they are very avail for training or help.

    On the Embassy Suites Remodel as asst project manager we had encountered a requirement that all business be conducted thru Procore, at the time I had never heard of it, within two weeks I was the hero to the boss,  for mastering it,  at first it's alot to take on until you figure out the automation of reports, which is nice to see for all involved,  it does not allow anyone to hold the ball in thier court and if anything held up its easy to find who's accountable for that hold up this project only had 4 employees we ended up finishing a month early.  Hands down we owed that to Procore, not saying it's the only one BIM capable but v it's tutorials and local support was everything when I hit a wall.  If you already got a member that knows the software even better,  we were doing reports manually every Monday lol, I told my boss what's that for we have to enter them in and send it, he was re entering existing data so once I spent 8 hours configuring it, we had up to the minute reports explaining everything to management company and could run on demand for every meeting talk about impressive.  What I always imagined Bim would be like if all were on board lol.

    I'm new to this thread. It seems there may be different needs: office management (time keeping, billing) and project management (communication, file management). Obviously they overlap, but I'm primarily interested in project management software with ready-made templates for small (preferably) architecture firms. Ideally, it would:
    • organize and track all client, consultant, building official, GC and trades communications
    • organize our issued files (as opposed to our BIM/CAD files) so they can be accessed by us and appropriate others (transmittals):
      • PDFs
      • DWGs and/or IFCs to consultants
      • renderings and animations
      • specifications
    • maintain checklists for all phases of a project: PD through CA, so we know we're not overlooking anything
    • keep submittals organized
    • log field reports and draw request reviews

    This all seems quite distinct from running my practice (as a business), which something like Harvest seems to be intended to do. In other words, I'm hoping for a modern version of the old project binder. Am I asking for the Moon?

    Full disclosure: I used ArchiOffice years ago, and in spite of it being developed by an architect, it felt pretty clunky at the time-to be fair I have not yet re-investigated it.

    It sounds like you are looking for a CRM more than a project management package. There are a lot of builders packages that do everything you have outlined and more, but the price point is slightly higher. Try googling Buildertrend, Co-construct or PlusDesignBuild.

    Hi Francois,
    I have spent years looking for the perfect solution for my 10-person office, but as of yet I have not found it.
    Like Jan (above) I was seduced by BQE Core, but almost all of the architecture-specific features you are looking for (project management, tracking drawings, submittals, correspondence etc) are so half-baked as to be laughable.  Google sheets trumps all of these "features" in terms of usability.
    I have spent ridiculous amounts of money to have them "customize" their inflexible templates for invoices and reports to bring them up to the most basic level of usability.  Their practice-based reports have been totally useless for us due to how they insist that every hour is potentially billable.
    At the moment, we are using Core for time tracking, invoicing & accounting in conjunction with ClickUp for schedule, task and SOP management and Slack for internal communications.  We use Patriot for payroll, which does not integrate but is cheap and flexible enough to allow for full-time, part-time, J-1 interns and reimbursable payments.
    Prior to using Core I loved the clean simplicity of Harvest and Harvest Forecast, and it integrated nicely with Xero which we used for accounting and it's formerly-integrated payroll. 
    Monograph is a joke - maybe useful if you have two employees and one project, but crazily overpriced for the limited functionality it has.

    Finding and all in one package that fits your practice is difficult. I would suggest starting with Office 365 Teams. You can develop a simple reusable project template and test it on a project. You can add a number of free apps for other task like Scheduling and Checklists. Teams has some basic automation though flows. Making it relatively easy to do things like notify the PM when a file is uploaded by a consultant. 

    It's a good simple starting point with software you probably already have on hand.  You can find what works for and which tasks need more finesse for your practice.    

    A Teams Project Template Could include: 
    Chat - Project Team messaging 
    Files - Use one SharePoint Document library each for Deliverables, Incoming and Outgoing Consultant files and Submittals 
    Tasks - Lightweight Scheduling with the Planner App
    OneNote- Filed Reports and Meeting Minutes 
    Checklist - QA QC Lists via the Checklist App

    I really like teamwork.com I got turned on to it when I was with The Sextant Group doing AV consulting work and I still use it for my projects.

    When it comes time for time tracking I really like the tactile hands-on Timeular device; it also exports to several applications.

    Hi Micah, and everyone on the thread.

    I too run a small architectural office, and we all do it a little differently, here are my 2 cents:

    Accounting
    Reading your past comments I would re-think the desire to connect QuickBooks to the project management software.  For an office that size is it really necessary?  Does it save time?  We use a standalone QuickBooks setup.  

    Scheduling
    To me, MS Project is overkill, if you're looking for a scheduling Gantt chart program there are a bunch of free to low cost options that others have mentioned.  We've resorted to Smartsheets for this task, but always looking around for better solutions. Smartsheets offers all sorts of custom spreadsheet-esque data tracking, so that's cool. 

    Project management
    We've tried many cloud based project management systems, Skype, Asana, Wrike, etc.  The best software that we found is Basecamp. It is very user friendly, requires little to no training, quick to setup, super flexible. 

    The best feature by far is that it is not industry specific so you can think of other ways to approach and solve your project management needs. IMO the nature of an architect is to be inventive and revolutionary. Using an industry based product takes the fun out it and is a step towards becoming a lemming.  

    You can create client portals so they can access client side areas of your project (I haven't tried this). We use it daily with our consultants and engineers, it ends up being a project management system for everyone involved in the project. (No extra costs for consultants or engineer access too!)  One great feature is that you can create a project template, so that you can start up a new project in a couple of seconds and the baseline workflow is already mapped out.  

    Yes, I'm a fan boy, but it keeps us organized, our projects moving forward, and my sanity.
    I just checked their website, Basecamp currently has a 12 month free trial period and the pricing is competitive.

    We have many active projects of various sizes in a 10 person office.  It works. Cheers and good luck!  -Mike

    We have stuck with Quickbooks and Quickbooks Time, and use Asana for project management. I'll take a look at Basecamp though, and thank you for that recommendation.
