    Need to be able to post current drawings online , as well as clarifications , bulletins, etc. for the construction team 

    Require secure access and automatic notification when updates are posted to the group 

    Recommendations and experiences welcome

    We recently worked on a corporate office interiors project where the contractor set the project up with online construction management software called PROCORE.  There were lots of drawings, bulletins, addenda, ASIs, RFIs, and submittals.  The software made it possible for the construction manager to manage documents, roles and responsibilities well.  There were frequent automatic reminders if you didn't respond to something on time.  The success of any construction management system is dependent on the diligence of the primary administrator.  We had a good administrator so the system worked well for our project.

    PROCORE would be a great resource if it could be used starting in the early design phase. It would be beneficial for architects to control documentation with the client and continue using the same tool through construction. The way PROCORE bills you is based on a percentage of the project cost. In early design stages you do not have a budget and you do not know if the project will get built. PROCORE does not have a way to bill for services at this stage. They should consider it since the chance of their software be used in construction projects would greatly increase.

    We use ShareFile for document exchange. It has quite a robust access control management.  You can set up a folder structure similar to Windows and assign varying access permissions by folder to different people.  Notifications can be automatic and are real-time.

     

    We have also started using Bluebeam's drawing sets in their Studio feature. It makes it very easy to dynamically share full sets of drawings, keeping sheets current with the latest revisions while retaining the history of previous iterations.  Studio provides different types of notifications.  I suspect it does what you're looking for, but I haven't done enough with it yet to know that for certain.

    Is anyone using Trimble connect to do this?  I had a play around with it and it showed promise yet I have not implemented it holistically yet I plan on doing this for the next project. I must say I do like the way that anyone can view the 3D model without proprietary software, A 2D plan may tell a thousand words but a Virtual Design and construction mode shows a million.

    When it all boils down it is all about the best way to communicate the design intent and buildability to the downstream participants. From all account, Trimble connect seems to have robust permissions and access to information. I'd like to hear if anyone knows more about it than I do.

    We've been using Tonic Document Management for issuing project documents and tracking RFIs and submittals. It does what we need and it's super easy use because it's made for architects. There's a free trial at www.tonicdm.com if you're interested.

    Two more suggestion I would make is Plangrid (https://www.plangrid.com/) or A360 Drive from Autodesk (https://a360.autodesk.com/drive/).

    These are my thoughts:

    There are 'purpose-built' solutions, like Procore, Aconex, NewForma and Prolog which incorporate defined workflows.  These are more expensive, but may be worth the extra money.

    There are also 'free-form' file sharing solutions like Dropbox, BOX, and Google Drive that are cheaper and more flexible, but require a manual process (and hence more time to administer).

    Tonic DM and Skysite are both building nice platforms that cater more to AE, without the extra features needed by CM's and contractors.

    Trimble also has some nice features in the rapidly evolving combination of Connect (formerly GT Sync by Gehry Technologies) and ProjectSight.
