  • 1.  Contractor request electronic files.

    We work on a lot of condos and hotels and the GC has been requesting our electronic files so they can use them for their subs to produce the shop drawings. We have the all the subs sign a ho;d-harmless, but the question I have is should we be charging them a fee to use them or should we give them away free? What kind of Fee would be recommended?

    Hello John, yours is a common question and at the same time a dilemma that we all have. Technically speaking we are being paid by our clients to produce a design and CD's. Not that it is a bad business practice to charge the GC for our CAD drawings however, it would be clever to disclosure such in the drawings or documentation. Those GC's would otherwise come back to our clients and let them know that their cost estimate did include shop drawings but not the base CAD drawings and their could suggest a change order. It will not look good to clients, for sure. In our firm we treat this as an additive service to clients and we do let them know of such. Regardless of the approach appropriate documents would need to be issued for the release of electronic data and its handling. Best of lucks.

    We don't charge the contractors for the electronic files. If they are wanting caad files, we make them sign a release and we only give them the sheets needed for their part of the work. We don't give the entire set.

    We have charged to provide plans and electronic files to new homeowners or contractors who have purchased projects that we previously designed.

    The first time I allowed a GC (who I respect very much) our CAD files for shops, we got back our drawings on their title block for the casework shops which is exactly what we did not wanted.  It avoids the checks and balance that shops are suppose to provide.
