The AIA Corporate Architects and Facility Management (CAFM) Knowledge Community consist of architects working within and for businesses and corporations. Our mission is to share expertise in the strategic, tactical, and operational activities of real property and facilities management in order to deliver value to the owners we represent. 

  • 1.  Employee Workplace Transition

    ​We recently built new office space for 1200.  Employees were located in three buildings across the city.  The culture of the firm is very positive but many departments were isolated from each other resulting in silos.  The new building space is open and provides natural light and views to all floors.  Offices were located at the core of each floor respecting the  "no one owns the window" philosophy.  We worked with transition teams to make the move as painless as possible.  Communication was the key to the success of the transition with meetings to provide an overview of the new building design and an overview of the new building amenities.  Mock-ups were provided for the workstations/offices, furniture and technology. As the project progressed into construction, departments were toured through the site and building.  Move teams were created as the project neared completion.  The team leaders provided move schedules for packing and the phased departmental moves.  All moves occurred over weekends with employees leaving their old buildings on a Friday and starting work in their new workspace the following Monday.  All computers and phones were connected over the weekend.

    The process that you describe is pretty much the same as the process for moving into a new space that we use at Verizon and most other companies that I have worked with.
    One additional thing that we do and you may not have covered is related to substantial completion and punch list work. We have substantial completion occur 2 weeks before move in. Our redefinition of substantial completion is all work completed construction and furniture. We then allow two weeks to for punch list work and administrative fit out (copiers, small appliances, IT desk top connections, etc.) then move in.

    ​In dealing with multiple workstations make sure the vendor walks the site and reviews the construction layout. I previous projects with multiple new modular workstations, problems always arose because of interference in items not anticipated or reviewed with the vendor or workstation product dimensions that affected layout. Furniture vendors in my capacity as a facilities architect always worked directly with the owner.
