Staffing Software

    Does anyone use a particularly good software for assigning and managing staff and schedules over multiple projects?

    We are looking for something that:

    a) will at a glance let us know  who may be over or under utilized. and

    b) is easy to adjust tasks and durations, and

    c) is easy to add or delete projects, and

    d)  will allow near hour by hour assignment of staff, not just prorated over duration.

    Any suggestions are welcome.

    MS Project will do all of that - a bit complicated, but once you have it going would work great-

    We have used ArchiOffice since 2007.  It does all of that and far more. It is affordable (not cheap), written for architects, and now has an online/cloud version which we just started using without hiccups.  Our office has ranged from 28 people (pre-2008) to todays 10 people. We are extremely dependent on this program and the information it provides about our individual productivity as well as a to-the-penny accounting of each job accounting for all hours and by whom.

    Will Archioffice allow you to budget hours for staff time for multiple projects-in order to plan manpower scheduling?

    Like MS Project.  As Paul said it can be complicated because it has capability for very detailed input and analysis.

    We have a 40 person architectural firm and have been struggling with scheduling. We have been through serial low key options and finally opted to purchase the additional portions of our Ajera software. It seems to be working well, particularly since it integrates with our accounting and time entry.

    Depending on your office size, I would recommend Axium's Ajera.  It does everything you are asking and more, but if you are under 10 – 12 employees, I believe you would consider the effort would outweigh the benefits.

     

    We are in that size range, have had Ajera for about 10 years and although we've been using most of the standard features are just now getting into customizable reports for each of our PMs.  It's all a factor of having a good comptroller with computer skills and the time to set up the templates in the format that we believe will be most useful.  There's "switches" so the administrator of the software can turn on or off any of the information for each position.  Reports can be in either actual dollars, a "standard" rate, or hours.

    We started testing Game Plan in our office, which gives a great overview of the projects, teams, and progress.

    Many accounting software packages include this capability built-in as a feature.  We use Ajera as our software and it directly ties project management together with staff scheduling.  When a new project is entered and the fees/hours are assigned to specific individuals, we can then go into the overall office schedule and see all projects listed.  Staff can then be assigned to specific projects with their total hours directly computed against the budgets and tracked with timesheets.
